Email Client Troubleshooting Guide
Why isn't my email client opening?
When you click "CREATE EMAIL" in Source Finder, we generate a standard mailto link that should open your default email application. If this isn't working, it's typically due to email handler configurations that need to be set up on your device, browser, or webmail client - not an issue with Source Finder itself.
Good news: Most modern webmail providers (Gmail, Outlook, IONOS, Yahoo, etc.) can be configured to handle mailto links directly in your browser, eliminating the need for desktop email clients.
Select your situation below for step-by-step instructions:
Open System Preferences: Click the Apple menu → System Preferences
Go to General: Look for "Default web browser" and "Default email reader"
Set Default Email App: Choose your preferred email client (Mail, Outlook, etc.)
Alternative Method: Open Mail app → Mail menu → Preferences → General → Default email reader
Test: Try clicking a mailto link on any website to verify it opens your email client
Note: For macOS Ventura and later, these settings may be under System Settings → Desktop & Dock → Default web browser.
Open Settings: Windows key + I, or Start → Settings
Go to Apps: Click "Apps" then "Default apps"
Set Email Handler: Scroll down to "Email" and select your preferred email client
Alternative (Windows 10): Settings → System → Default apps → Email
Alternative (Control Panel): Control Panel → Default Programs → Set your default programs
Test: Try clicking a mailto link to verify it opens your email client
Note: If your email client isn't listed, you may need to install it first or choose "Look for an app in the Microsoft Store."
Enable Protocol Handlers: Go to chrome://settings/content/handlers or Settings → Privacy and Security → Site Settings → Additional permissions → Protocol handlers
Allow Handler Registration: Ensure "Sites can ask to become default handlers for protocols" is enabled
Clear Previous Rejections: If you previously declined a webmail handler, remove it from the list to allow re-registration
Visit Your Webmail: Go to your webmail provider (Gmail, Outlook, IONOS, etc.) and look for any protocol handler prompts
Test with Source Finder: Click "CREATE EMAIL" - your browser should either use the registered handler or prompt you to register one
Manual Registration: If no prompt appears, try clicking a mailto link while on your webmail provider's site to trigger registration
Chrome tip: The protocol handler icon (two interlinked diamonds) may appear in the address bar when visiting webmail sites - click it to register the handler.
Safari Preferences: Safari menu → Preferences
General Tab: Look for "Default email reader"
Select Email Client: Choose your preferred email application
If Not Available: Safari typically uses your macOS system default - configure that first
Firefox Settings: Three lines menu → Settings
General Tab: Scroll down to "Applications"
Find mailto: Look for "mailto" in the content type list
Set Action: Change action to "Use [your email client]" or "Always ask"
If Not Listed: Click a mailto link and Firefox will ask what to do - choose your email client
Edge Settings: Three dots menu → Settings
Default Browser: Click "Default browser" in the left sidebar
Protocol Handlers: Look for protocol handlers settings
Alternative: Edge typically uses Windows system defaults - configure those first
When Clicking Links: Edge may prompt you to choose an app - select your email client
Most webmail providers can be configured to handle mailto links. Follow these general steps:
Check Webmail Settings: Look for email preferences, advanced settings, or behavior settings in your webmail interface
Find Protocol Handler Options: Search for terms like "mailto", "protocol handler", "email links", or "link registration"
Look for Protocol Handler Icon: Many webmail providers will show a protocol handler icon (two interlocking diamond shapes) in your browser's address bar when visiting their site - click this icon if it appears to register the handler
Enable Registration Prompts: Enable any setting that allows the webmail to "ask for mailto link registration" or similar
Trigger Registration: Visit Source Finder and click "CREATE EMAIL" - your webmail should prompt to become the default handler
Accept Registration: Click "Allow", "Accept", or "Set as Default" when prompted
Universal tip: If your webmail doesn't support protocol handlers natively, check if there's a browser extension available for your email provider, or consider setting up your email account in a desktop client like Outlook or Apple Mail.
Method 1: Check for Existing Protocol Handlers
Check Current Handlers: In Chrome, go to chrome://settings/handlers or Settings → Privacy and Security → Site Settings → Additional permissions → Protocol handlers
Look for Gmail Entry: If mail.google.com is already listed, click the three vertical dots next to it and select "Remove" to clear any previous settings
Enable Handler Registration: Ensure "Sites can ask to handle protocols" is toggled ON (blue dot)
If No Handlers Listed: Proceed directly to Method 2 below
Method 2: Manual Gmail Handler Registration
Open Gmail: Go to gmail.com in Chrome and ensure you're logged into your account
Look for Protocol Handler Icon: Check the address bar for the protocol handler icon (two interlocking diamond shapes) - it appears to the right of the address bar, typically near the star/bookmark icon
If Icon Appears: Click the diamond icon and select "Allow" when prompted to let Gmail handle email links
If No Icon Appears: Right-click anywhere on the Gmail page → "Inspect" → go to "Console" tab
Paste Registration Code: If you can't paste immediately, type "allow pasting" and press Enter first, then paste this exact code:
Execute Code: Press Enter and click "Allow" when the browser prompts to register Gmail as the mailto handler
Verify Setup: Go back to chrome://settings/handlers - you should now see mail.google.com listed as a handler
Test: Try clicking "CREATE EMAIL" in Source Finder to confirm Gmail opens with BCC addresses populated
GSuite Users: This manual registration method is especially important for GSuite accounts, which sometimes don't automatically register protocol handlers like consumer Gmail accounts do.
Visit Outlook: Go to outlook.com or your Office 365 web portal
Check for Handler Icon: Look for the protocol handler icon (two interlocking diamonds) in the address bar while on Outlook.com - click it if visible and select "Allow"
Protocol Handler Prompt: Click on any mailto link - your browser should ask if you want Outlook to handle emails
Set as Default: Choose "Always allow" or similar option
Browser Settings: You can also manually add outlook.com as a protocol handler in your browser settings
Visit Yahoo Mail: Go to mail.yahoo.com
Look for Protocol Icon: While on mail.yahoo.com, check for the protocol handler icon (two interlocking diamonds) in the address bar and click it if present
Enable Handler: Click on a mailto link while on Yahoo Mail
Allow Permission: When prompted, allow Yahoo Mail to handle email links
Browser Configuration: You may need to manually add Yahoo Mail in your browser's protocol handler settings
Access IONOS Webmail: Log into your IONOS webmail interface
Enable Mailto Registration: Click the settings gear icon → All Settings → Mail → Advanced Settings → Behavior
Configure Handler Setting: Find "Ask for mailto link registration" and enable this option
Register Protocol Handler: Now when you click "CREATE EMAIL" in Source Finder, IONOS will prompt you to register as the mailto handler - click "Allow"
Test the Setup: Future mailto links should now open directly in IONOS webmail with the BCC addresses pre-populated
Note: This native IONOS setting provides the best user experience and avoids manual copy-paste workarounds.
For other enterprise email systems (Exchange, custom webmail, etc.):
Check with IT: Contact your IT department about setting up mailto handlers
Desktop Client: Consider setting up your enterprise email in a desktop client
Manual Copy: As a workaround, copy the email addresses from Source Finder and paste them into your webmail BCC field
Browser Extensions: Some enterprise email systems offer browser extensions that can handle mailto links
iOS 14 and later supports changing default email apps:
Install Your Preferred Email App: First, download and set up your preferred email app (Gmail, Outlook, Yahoo Mail, etc.)
Open Settings: Go to Settings → Apps → Default Apps
Set Default Email: Tap "Email" and select your preferred email app from the list
Alternative Method: Go to Settings → [Your Email App] → Default Mail App, then select your app
Test the Setup: Try clicking "CREATE EMAIL" in Source Finder to verify it opens your chosen app
iOS 13 and earlier: These versions only support Apple Mail as the default. You may need to copy email addresses manually and paste them into your preferred email app.
Troubleshooting iOS Issues:
Still opens Apple Mail: Go to Settings → Mail → Default Mail App and re-select your preferred app
Browser not respecting default: Some browsers may override system defaults - try using Safari for best compatibility
App not in list: Ensure the email app supports being set as default (contact the app developer if unsure)
Android typically shows an app picker when you click email links:
Method 1: Set Default When Prompted
Click "CREATE EMAIL": When you first click the button in Source Finder
Choose Email App: Android will show "Complete action using" with available email apps
Select "Always": Choose your preferred app and tap "Always" (not "Just once")
Done: Future mailto links will automatically open in your chosen app
Method 2: Set Default in Android Settings
Open Settings: Go to Settings → Apps (or App Management)
Find Default Apps: Look for "Default Apps" or "Choose Default Apps"
Set Email App: Tap "Email" and select your preferred email application
Alternative Path: Settings → Apps → [Current Email App] → Set as Default → Clear Defaults
Method 3: Clear Current Default (If You Want to Change)
Open Settings: Go to Settings → Apps
Find Current Default: Tap on your current default email app
Clear Defaults: Tap "Set as Default" → "Clear Defaults"
Test Again: Try "CREATE EMAIL" and you'll get the app picker again
Note: Steps may vary slightly between Android versions and manufacturers (Samsung, Google Pixel, OnePlus, etc.). Look for similar options in your device's settings.
Issue: "Webpage not available" error
Cause: No email app is set as default, or mailto protocol isn't configured
Solution: Follow the steps above to set a default email app
Issue: Wrong email app opens
iOS: Check Settings → Apps → Default Apps → Email
Android: Clear defaults for current app and re-select preferred app
Issue: Email opens but BCC field is empty
Cause: Some email apps don't fully support mailto with multiple BCC addresses
Solution: Try a different email app, or manually copy the addresses from Source Finder
Issue: Mobile browser asks which app to use every time
Cause: You selected "Just once" instead of "Always"
Solution: Clear the app's defaults and choose "Always" next time
